Please complete and return this form immediately to ensure that your details are up to date.

Please complete and submit this form to us if you are contracting with us directly and not through an umbrella / payroll company.

• SUK-DOC-028: Invoice Template (Contractor)

If you are contracting with us directly as an overseas invoicer and not through an umbrella / payroll company, please submit your invoice to accounts@seistechuk.com at the end of the month or at the end of project

• SUK-DOC-016: Monthly Timesheet

Most clients accept this format, but in some cases, they may have their own. Please ensure your timesheet is signed by the client before submission to avoid payment delays. Please submit your timesheet to accounts@seistechuk.com at the end of the month or at the end of project.

• SUK-DOC-017: Expense Claim Form

Please submit your expenses form with receipts to accounts@seistechuk.com at the end of the month or at the end of project.

• SUK-DOC-027: Contractor Appraisal

Please ask your supervisor / line manager to complete an appraisal towards the end of a deployment. Please then return the completed form to your point of contact at Seistech UK

Updating your Certificates & CV

Please keep your CV and the certificates we hold updated. It means we don’t have to badger you, and we have immediate access to up-to-date information when proposing you to a client. Updated documents should be sent to admin@seistechuk.com

Medications & Supplements

Please be prepared to declare and pre-existing medical condition and all medication (prescription, non-prescription or supplements) either prior to or on embarkation. If this is prescribed medication remember to carry this in the original container with a copy of the prescription.

Vessel Location

If the vessel you are working on changes location during your assignment, please let us know. This may for example be a change to work within territorial waters or a move between national waters. We need to ensure that we remain compliant with local tax legislation and although we expect this information to be forthcoming from the client pre-engagement this is not always the case. By keeping us informed we can also advise on any necessary steps.

An ILO108 ratified Seaman's Card allows seafarers to work internationally under the International Labour Organization’s Seafarers’ Identity Documents Convention. You can apply through your country’s maritime authority, typically requiring proof of employment and sea service. If you need assistance in securing an ILO-108 Seaman book, contact our staff who will facilitate through an agent.

Apply through the embassy or consulate of the country where you will be working, with documentation such as an employment contract and insurance coverage.

You are paid monthly. Payments are made after receipt and approval of timesheets and any required documentation.

For most contractors Seistech UK provides comprehensive insurance, covering you while on assignment.
For UK Limited Company contractors however, there is an expectation that your Limited company will carry PI and PL insurance.

IR35 is UK legislation that determines your tax status as an employee or contractor. If you are working through your own UK Limited company, the client may need to consider whether IR35 applies. Being inside IR35 means you’ll pay tax as an employee, while being outside means you can receive payments as a contractor.

Yes, we provide full support with travel logistics and visa applications. Our team will assist in obtaining necessary documents and managing your travel plans

You can submit your timesheet by completing the SUK-DOC-016 Monthly Timesheet form, available in the portal under "Forms". Once filled, submit it to your designated point of contact. Please ensure all required approvals are in place before submission.

No, the expectation is that you will provide your own PPE which should include coveralls, hardhat, safety glasses, gloves and work boots.

Seistech UK offers guidance and support with managing local taxation requirements in the regions where you work. We collaborate with local authorities to ensure you remain compliant.

Expenses typically include work-related travel, accommodation, and meals (depending on your project) but expressly will not include alcohol. Use the SUK-DOC-017 Expense Claim Form and submit it with receipts accounts@seistechuk.com. Please, ensure you follow any specific guidelines from your point of contact at Seistech UK

Your main point of contact will be your Seistech UK coordinator, but in case of emergencies or urgent issues, there’s also a 24/7 support line. You can find the contact details on the contractor portal homepage.

If your project’s duration changes, Seistech UK will inform you promptly and handle any necessary contract amendments. Your payment terms and any logistical arrangements will be adjusted accordingly.
